Also, note that the Dean of Students has opened up a Chromebook loaning program for students who don't have access to a device.

Ensure you have access to a computer or a mobile device. This device will need to include:

An up-to-date modern browser - Google Chrome is recommended. Firefox, Safari, and Edge are also acceptable but may not function for all uses. If instructors proctor exams using Smart Exam Monitor, Chrome will be mandatory.

Audio capability - At a minimum, ensure you have speakers and a microphone - these should be fine for any online synchronous meetings if you have a quiet location to work. If you need to be in a busy space, a USB headset or earbuds (with mic) are recommended.

Video capability (optional) - If you are required to deliver presentations, ensure you have a webcam, either built into your computer or attached via USB.

Online Assignment Submissions

File submissions

File Types: Most often, you will be asked to submit PDF files. Both GoogleDocs and other standard word processors (MS Office, LibreOffice, Mac Pages, etc.) allow you to save your file as PDF files. Please note: some 3rd party PDF conversion utilities cause issues when converting to the online grading format in eClass - whenever possible use standard tools to create PDFs. Please see here for more details on recommended practices and tips for submitting assignments.

Apps: All U of A students have access to Google Drive.

These tools are also available as apps for Android and iOS.

File Size: There is a 400 MB file size limit per file submitted to eClass. This should only be an issue if your course work requires you to make video submissions. For cases like this, the recommended process is to upload these files into your google drive and then share the video with your instructor and post the link in eClass.

Tip: Always save a copy of your documents before turning them in online. Consider downloading your files to an offline location/your computer as a precaution.

Daily Check-in: Expect to check your email and eClass courses daily. Reading announcements and other notifications is crucial to having a successful online experience.

Time: Expect to spend as much time as you would for face-to-face classes engaging with your class commitments.

Synchronous Options: Try to take advantage of any online sessions offered and review the tips for using Zoom.

Communicate: Take the time to promptly communicate via eClass or email with your professors or classmates if you have questions.

Ask for feedback or clarification.

Be open to online communications like Google Chat.

This article outlines some of the major changes students should be aware of implemented in the June 24th, 2023 update.

- Course Interface Changes

Visual Changes Overview

The biggest change for eClass in June 2023 is the redesigned look. Most of the functionality for student access to their dashboard, course content, and their use of standard activities like forums, assignments, and quizzes remain the same. Our underlying LMS provider, Moodle, has undertaken a full design overhaul to make the site more modern and visually appealing with a focus on usability. The following video provides a short introduction to the new look of the site:

Dashboard Changes

Collapsible blocks column: To maximize space on their dashboards, student can open or collapse the right-side blocks menu to create a cleaner view using the callout near the top right. Students can also re-arrange the order of their courses and hide courses by toggling Edit mode:

Header changes: The email link has been moved to an item underneath user's profiles:

Timeline view: Below the course list on the dashboard, students will now see a list of any standard activities (quizzes, assignments) that have scheduled due dates/times across all of their courses. These links can be used to navigate directly to the activity to complete them.

Course Interface Changes

Collapsible course content sections: With the new cleaner design in courses as well as the new look of the icons, content-heavy courses can feel a bit lengthy. New by default, students can now collapse the content of any or all the sections in the course to focus on the section(s) that they are currently working on.

Note: as this is a user-preference, instructors cannot set the collapsed/uncollapsed topics for students in a course.

Collapsible Blocks column: Just as they do on their dashboard, students now have the option of increasing the amount of their screen taken up to the center content column on their dashboards and within courses. This new user preference allows the right-hand blocks column to be hidden by clicking the 'x' near top right:

OR shown by clicking the callout:

Students should remember to check the blocks menus in all their courses to ensure that they are aware of any content added there.

Collapsible course index: Also within courses, students now have the option to display or hide a 'course index' that provides direct links to all the sections, content, and activities in a course, including completion status information.

Similar to sections in the main page, sections in the course index can be collapsed to focus on particular topics while closing the entire index can leave more screen area to focus on content within the course. Students should note that content embedded directly into the main course page will not display as links in the course index so students should avoid using only the links in the course index to access materials.

The course index shows students additional information about activities including completion tracking information if your instructor elects to:

When exam session descriptions are longer and a user has a small display size, the Take Exam button can sometimes be off-screen. Students can use the Chrome Zoom Out feature to shrink the text until it is visible:

Screensharing fails to launch or throws an error

Students can follow these instructions to ensure that they have provided the correct system permissions for SEM to share and record their screen. Also note that you must click on the icon of your full screen for the Share button to become active. Sharing Other applications or specific Chrome tabs is not compatible with SEM.

If you are using a Mac and the error message "Could not start screen capture please try again" is displayed, especially if you have previously used SEM without issue and the permissions have been set correctly, update Chrome to 99.0.4844.83 (effective March 23, 2022).

However, if you are stuck on the old version of Chrome prior to the date above, then you may need to disable and re-enable screen recording permission using the following steps:

- Open System Preferences
- Open Security and Privacy
- Scroll down to Screen Recording
- Disable Screen Recording for Chrome
- Quit and re-open Chrome
- Re-enable Screen Recording for Chrome
- Restart SEM

SEM shows a blank screen

Some 3rd party Chrome browser extensions block SEM from operating. Any (or all) Chrome extensions can be disabled by going to chrome://extensions/ and toggling the Enabled slider for each extension. Chrome and SEM can then be re-started.

SEM permissions aren't correctly granted for audio and webcam

Follow these instructions to make sure the microphone and camera are both given permission in the MacOS or Windows system settings.

Please note: If the microphone does not have system access, it may prevent the camera from being detected by SEM. This can be an issue with Windows computers. Please make sure that if there is an option to give Desktop Apps access to the microphone, that should be toggled on as shown below:

It may also be necessary for students to fully clear their browser cache in Chrome and re-launch SEM to ensure the correct access is granted.

A quick step to review the audio and video permissions for a page is by clicking the lock icon at the left edge of the Chrome URL bar:

SEM Video feed is blank

If the video feed is blank, the permissions have been correctly granted, and the correct device is selected and the video still won't load, a full machine restart may also be required to solve this issue as the frequent use of other tools (eg. Zoom) that use the webcam can impact use by other applications.

(Mac) Screen recording still fails despite correct permissions

You can to go the Security & Privacy settings, locate Google Chrome in the Screen Recording list, and click on Chrome, ensure that it is highlighted in blue as shown below. Then click the Minus button to remove Chrome. Then reload SEM and ensure that you allow the Screen Recording permission to resolve the issue.

SEM Audio check does not complete

If the audio check spins and never completes, users can do a hard refresh ctrl-F5 (PC) or cmd+shift+R (Mac) to clear the SEM page cache and re-launch. On Mac, a full machine restart may also be required to solve this issue as the frequent use of other tools (eg. Zoom) that use the microphone can impact use by other applications. Students should also verify that they have not inadvertently muted their microphone.

The exam window says "Please maximize this window" but nothing is happening, even though it's maximized

Windows: Make sure your taskbar is on the bottom of your screen. If it's not, right-click on it and make sure "Lock the taskbar" is unchecked, then drag (from any space that isn't an icon) the taskbar to the bottom of the screen. Or, search Windows settings for "taskbar settings" and change the taskbar location from there

Mac:

Re-enabling full screen mode sometimes resolves the issue: toggle full screen off, then attempt to launch SEM again, then toggle full screen again once SEM is requesting that you do so.

Make sure your dock is on the bottom of your screen, you can change its location by going to Apple menu -> System Preferences ->Dock & Menu bar. In the same settings, add a checkmark to "Automatically hide and show the menu bar in full screen":

In macOS 14.x Sonoma, you must also hide the top menu bar. To do this: make sure Google Chrome is completely shut down by selecting "Quit" from under the file menu; go to your Applications folder (under the Go menu in finder or pressing CMD-Shift-A); find Google Chrome; right-click on the app icon and select "get info"; check the setting "Scale to fit below built-in camera."; then relaunch and restart the SEM setup process.

If SEM has been setup correctly and appears to function correctly but then crashes when ExamLock is launched, students must ensure they are using Google Chrome.
- Error "No person detected in camera": On first launch of the SEM V2 Chrome app, this error will appear immediately after sharing your screen. Students can safely ignore it and click OK to close the alert and then CHECK FOR PERSON IN CAMERA to continue the monitoring validation.

- Maximize window appears to function but does not launch exam: Users who magnify or increase the zoom in their Chrome SEM V2 app will not be able launch their exam. Double-clicking the app header will fill the window full screen but they will not be redirected to the exam start up page. Users can tell if they are zoomed in if they see a magnifying glass icon near the top right and hovering over the magnifying glass will show a value other than 100%:
